1 · Understanding the business
It starts with a sit-down and five direct questions: what your current tools genuinely do (and don't), your volumes, what eats your time, how records are kept, and the one thing you'd fix tomorrow. No forms, no questionnaire — a conversation, in your words. If I don't think SystemAIse will pay for itself in your business, this is where I'll say so.
2 · Creating the Business Brain
Your services, prices, customers, team, tools, rules and ways of working — captured into one structured, private knowledge base. This is what makes AI assistance safe and specific: it drafts from your reality, not from generic guesses.
3 · Mapping the workflow
How work really moves from enquiry to payment — including the parts that live only in your head. The map shows where information gets lost, retyped or forgotten, and which two fixes matter most.
4 · Building two workflow modules
We choose the two pieces of admin that hurt most — quote follow-up, compliance records, invoice chasing, booking packs, renewals — and build them properly: documented procedure, AI-assisted drafting, tracker, approval step, exception handling, manual fallback.
5 · Testing and supervision
Every module passes real test cases — normal ones and awkward ones — before it touches live work. You review actual outputs. Approval boundaries are written down: what the system may prepare, and what only you may send.
6 · Training and stabilisation
You (and your team, if you have one) get trained on the system you now own. Then 30 days of stabilisation: anything not right gets fixed, usage and costs get reviewed against what we agreed, and the result gets measured against the baseline we set at the start.
